The Challenge
NewPlay was building something from scratch: a brand-new kids’ party venue in Utah with a vision for themed experiences ranging from princess parties to sensory-friendly sessions. They had the space, the concept, and the energy — but no systems.
Everything was manual. Booking inquiries came in through email and social media DMs. Staff had to juggle calendars, coordinate with third-party performers, process payments by hand, and keep track of party add-ons across sticky notes and spreadsheets.
Before they even opened the doors, it was clear this approach wouldn’t scale. They needed a platform that could handle the full booking lifecycle — from the moment a parent finds them online to the confirmation email landing in their inbox — without requiring a human in the loop for every step.
What We Built
End-to-End Party Booking Engine
We designed and built a complete booking platform from the ground up. Parents can browse 14+ themed party packages, select their preferred date and time, choose add-ons like character appearances or sensory-friendly accommodations, and book everything in a single session.
The system validates availability in real time, prevents double-bookings, and pushes confirmed reservations directly into the venue’s calendar and POS system. No staff intervention required.
Automated Partner Coordination
Several party themes involve external partners — princess performers, therapy facilitators, and specialty entertainers. We built an automated notification system that alerts the right partner the moment a relevant booking is confirmed, with all the details they need: date, time, theme, and special requests.
No phone calls. No forwarded emails. The coordination happens instantly and reliably.
Calendar + POS Integration
We integrated the booking engine with NewPlay’s point-of-sale and calendar systems so that every reservation, payment, and schedule change is synced across the business in real time. Staff see one unified view of what’s happening, and nothing falls through the cracks.
Professional Web Presence
We also built NewPlay’s public-facing website from scratch — designed to convert visitors into bookings. Parents can explore themes, see pricing, read FAQs, and complete a reservation without ever needing to call. The site launched alongside the venue, giving NewPlay a polished, trustworthy presence from day one.
